Which QuickBooks Online plan is right for my type of business?
Most small businesses land on either Essentials or Plus. Simple Start works for solo operators with basic needs, and Advanced is more than most companies under 20 employees will ever use. The real question is which two or three features matter for how you run your business.
Simple Start covers one user, basic invoicing, expense tracking, and standard reports. If you’re a solo consultant, freelancer, or single-member LLC with no employees and no inventory, this plan handles the job. You can send invoices, categorize expenses, reconcile your bank account, and pull a profit and loss report. That’s enough for many one-person operations.
Essentials adds bill management, up to three users, and time tracking. If you have a bookkeeper or office manager who needs access, or if you want to track and schedule vendor payments inside QuickBooks, this is where you move up. Service-based businesses like cleaning companies, creative agencies, or consulting firms often fit well here because they don’t carry inventory but need more than one person in the system.
Plus is where things open up for businesses with more complexity. You get inventory tracking, project profitability reports, and class and location tracking for up to five users. If you’re a medical practice tracking revenue by provider, a trucking company tracking by truck or driver, or a childcare center with multiple locations, Plus gives you the structure to see profitability at a more detailed level. Businesses that sell physical products and need to track what’s on hand will also need Plus at minimum.
Advanced adds custom user roles, batch invoicing, advanced reporting, and dedicated support. It makes sense for businesses with larger teams or very specific reporting needs, but most small to mid-size businesses don’t need it. If you’re considering Advanced, you probably also need QuickBooks Online setup and training to make sure you’re actually using those features and not just paying for them.
A few things that trip people up. Upgrading later is easy, so don’t overpay for features you might need someday. Start with what fits now. Also, the plan you’re on matters less than how the system is configured. A Plus account with a messy chart of accounts and no classes set up won’t give you better information than a well-organized Essentials account.
The biggest mistake business owners make isn’t picking the wrong plan. It’s setting up QuickBooks with default settings and never customizing it for their industry or workflow. The right plan with the wrong setup still produces reports that don’t help you make decisions.
