What bookkeeping does a salon or barbershop owner need to stay organized?

Start with the basics that apply to any business. Use a dedicated business bank account and a separate business credit card. Every dollar in and out of the salon should flow through accounts you can reconcile. This alone solves half the disorganization most salon owners deal with.

Track your income by type. Service revenue and retail product sales need to be recorded separately. In Texas, services like haircuts and styling are generally not subject to sales tax, but retail product sales are. If you’re selling shampoo, styling products, or tools to clients, you need to collect and remit sales tax on those items. Lumping everything together makes it impossible to file accurately and increases your risk of owing money you didn’t set aside.

Reconcile your accounts every week or at minimum every two weeks. Salons and barbershops often run payments through Square, the booking platform, cash, Venmo, and sometimes more. Each one is a separate stream that needs to match your bank deposits. Waiting until month end to sort through all of that turns a simple task into a frustrating project.

Track your expenses with enough detail to be useful. Supply costs, equipment purchases, rent, utilities, software subscriptions for scheduling, marketing spend, licensing and continuing education fees. These are all deductible, but only if you have records. A shoebox of receipts handed to your accountant in March is not a system.

Product inventory deserves attention if retail is a meaningful part of your revenue. Know what you’re buying, what you’re selling, and what’s sitting on shelves. Shrinkage from personal use or theft adds up quietly. Even a simple spreadsheet tracking product purchases against sales gives you visibility you wouldn’t have otherwise.

Monthly financial statements pull all of this together. A profit and loss statement shows whether the business is actually making money after all expenses. A balance sheet shows where you stand financially. Without these reports, you’re guessing. And most salon owners who feel disorganized are really just making decisions without data.
