What is IFTA reporting and how does it affect trucking bookkeeping in Texas?

IFTA stands for the International Fuel Tax Agreement. It exists to simplify fuel tax reporting for trucks that operate across state lines. Instead of registering and filing fuel tax returns with every single state your trucks drive through, you file one quarterly return through your base state. Texas then redistributes the taxes to other states based on where your miles were actually driven.

Any vehicle over 26,000 pounds or with three or more axles that crosses state lines needs IFTA registration. Texas-based carriers register through the Texas Department of Motor Vehicles and receive an IFTA license along with decals for each qualifying vehicle.

The math behind IFTA is straightforward in concept. You report total miles driven in each state and total gallons of fuel purchased in each state. Each state has its own fuel tax rate. IFTA calculates what you owe each state based on miles driven there, then credits you for taxes you already paid at the pump in that state. If you bought most of your fuel in Texas but drove a lot of miles in Oklahoma and Louisiana, you’ll likely owe those states money. If the opposite is true, you might get a credit.

Quarterly returns are due January 31, April 30, July 31, and October 31. Late filings come with penalties and interest, and repeated late filings can result in losing your IFTA license entirely. That means your trucks can’t legally cross state lines.

This is where bookkeeping gets involved. IFTA compliance depends entirely on accurate record-keeping. You need to track miles driven per jurisdiction for every trip and every vehicle. You also need to record every fuel purchase with the date, location, gallons, and state. These records must be kept for four years in case of an audit by any member jurisdiction.
