How should a freight broker track revenue and carrier payments?

The most important thing for a freight broker is to track revenue and carrier costs at the load level. Think of each load like a job. The shipper payment is your revenue. The carrier payment is your cost of goods sold. The difference is your gross margin on that load. Without this level of detail, you have no idea which lanes, customers, or carriers are actually making you money.

In QuickBooks or whatever accounting software you use, record the full amount the shipper pays you as revenue. Don’t just record your margin. If a shipper pays you $3,500 and you pay the carrier $2,900, your revenue is $3,500 and your COGS is $2,900. Recording only the $600 spread understates your business volume and can create problems with lenders, insurance providers, and the IRS. Gross revenue matters for how your business is evaluated from the outside.

Every load should have a reference number that ties the shipper invoice to the carrier payment. When you receive payment from the shipper, apply it against the correct invoice. When you pay the carrier, code that expense to the same load. This is how you build a clear picture of profitability per load instead of just looking at a lump sum profit number at the end of the month.

Cash flow timing is the part that trips up most brokers. You’re often paying carriers on quick pay or net 15 terms while shippers are paying you on net 30 or net 45. That gap means money is going out before it comes in, and if you’re growing quickly, the gap gets bigger. Tracking accounts receivable and accounts payable by load helps you forecast when cash is coming in versus when it needs to go out. A bookkeeper in Pearland who understands brokerage operations can set this up so you always see where your cash stands.

Keep your carrier payments organized with proper documentation. Save rate confirmations, bills of lading, and proof of delivery for every load. These records support your expenses if you’re ever audited and help resolve disputes with carriers or shippers when payment amounts don’t match.

If you’re using a TMS, make sure it integrates with your accounting software or that data is being transferred consistently. A lot of brokers run their operations in one system and their books in another, and the two don’t match. Reconciling your TMS reports against your books monthly catches discrepancies before they snowball.

Factoring adds another layer of complexity. If you’re factoring shipper invoices, the factoring fee needs to be recorded separately from your carrier cost. It’s a financing expense, not part of your cost of goods sold. Lumping it in with carrier payments distorts your margins and makes it harder to evaluate whether factoring is actually helping or eating too much of your profit.

The brokers who struggle financially aren’t always the ones with bad rates. They’re often the ones who can’t see their real numbers because revenue and expenses aren’t tracked properly. Getting your freight and logistics bookkeeping right at the load level gives you the visibility to make better decisions about which lanes to pursue, which shippers to keep, and which carriers give you the best combination of reliability and cost.
